Data residency and region
Which data-center region your tenant runs in, and what that means for PHI.
One tenant, one region
Every tenant is pinned to exactly one data-center region at signup: US data centers (HIPAA) or Canadian data centers (PIPEDA / Canadian data residency). There is zero cross-region PHI flow by design — your practice's recordings, transcripts, notes, and actions are stored and processed only in that region.
Canadian tenants and AI availability
Our medical-grade speech recognition service is only available in US data centers, and our AI models have no in-region endpoint in Canadian data centers today. Canadian tenants are provisioned with identity, data, API, and frontend infrastructure in Canadian data centers, but AI transcription and note drafting are gated off by default (status PENDING_AI) until our cloud provider closes that regional gap.
A separately consented, audit-logged cross-region processing exception path exists but is disabled by default — enabling it for a tenant is a legal/product decision (PIPEDA cross-border notice plus provincial overlays), not a default. Talk to your Fieldnote contact before requesting it.
Changing region
Region is set at signup and cannot be changed from within the app. If your practice needs to migrate regions, contact support — see Getting support.
